ABOUT THE ROLE 

The Company Nurse / HR Administrative Support provides basic health and wellness support to employees while assisting the HR team with day-to-day HR activities. Th e role will be the first point of contact for basic employee health concerns and will help coordinate medical requirements, wellness activities, employee records, and other HR administrative needs.

The role will also have opportunities to learn and support other HR activities, including employee engagement, employee relations, performance management, and HR Business Partner initiatives. As the employee gains experience and demonstrates the required skills, the role may gradually take on broader HR responsibilities and develop toward a Junior HR Business Partner position.

KEY RESPONSIBILITIES

1. Company Nurse / Employee Health

  • Serve as the Company Nurse and first point of contact for employee health concerns.
  • Provide basic first aid and assistance for minor illnesses or workplace incidents.
  • Coordinate APE, medical clearances, and return-to-work requirements.
  • Monitor sick leave and assist with medical certificates and fit-to-work requirements.
  • Coordinate with accredited doctors, clinics, hospitals, and healthcare providers.
  • Maintain accurate and confidential medical records.
  • Assist with health, wellness, and health awareness activities.
  • Support workplace health and safety programs.
  • Refer employees to appropriate medical professionals when further assessment is needed.

2. HR Administrative Support

  • Maintain and update employee records and HR files.
  • Assist with onboarding, offboarding, transfers, and other employee movements.
  • Help monitor attendance, leave, medical certificates, and other employee requirements.
  • Prepare HR forms, trackers, reports, and basic documents.
  • Assist with HR communications and employee announcements.
  • Respond to routine employee requests and coordinate with the appropriate HR team member when needed.
  • Help organize HR activities and employee events.
  • Keep employee information and records confidential.

3. Employee Relations and HR Business Support

  • Assist employees with routine HR questions and concerns related to attendance, leave, workplace conduct, and Company policies.
  • Help document basic employee concerns and gather information or documents when needed.
  • Assist the HR team with meeting notes, HR records, and other administrative support for employee-related matters.
  • Escalate sensitive, complex, or serious concerns to the HR Operations Manager or appropriate HRBP team member.
  • Assist HR Business Partners and HR leadership with assigned employee engagement, performance, wellness, and other HR activities.
  • Help coordinate HR activities with Functional leaders, managers, and employees as assigned.
  • Assist with basic employee data, reports, surveys, and other HR information when needed.
  • Participate in selected HR projects and activities to gain exposure to broader HR and business functions.
  • Maintain professionalism, confidentiality, and appropriate judgment when handling employee information and concerns.

5. Employee Wellness and Engagement

  • Assist in organizing health, wellness, and employee engagement activities.
  • Help coordinate employee participation in wellness programs and HR events.
  • Assist with employee surveys, feedback activities, and other engagement initiatives.
  • Help maintain records and basic reports on activities and participation.

6. HR Records and Reporting

  • Maintain HR trackers and basic reports on attendance, absenteeism, medical concerns, incident reports, case management documents and other employee information
  • Assist in preparing regular HR reports and updates.
  • Ensure employee records and documents are complete and properly filed.
  • Help keep HR information accurate and up to date.
  • Support improvements to HR administrative processes when needed.

7. Additional Responsibilities and Development

  • Perform other reasonable duties, responsibilities, or assignments that may be assigned from time to time based on business, operational, and organizational needs, whether related to or reasonably connected with the position.
  • The Company may assign temporary, ad hoc, or project-based responsibilities as business needs require.
  • Work with the HR Operations Manager, HR Business Partners, Functional leaders, and other stakeholders on assigned activities.
  • Take on additional responsibilities as skills, experience, and business needs develop.
  • Receive coaching and opportunities to learn broader HR processes and business partnership activities.
  • The Company may adjust, expand, or reassign duties and responsibilities within the reasonable scope of the position as business and operational requirements evolve.
  • Where an assignment involves a significant or substantially different change in the employee’s role, scope of responsibility, or level of accountability, the Company will discuss the change with the employee as appropriate.
  • Progress toward a Junior HR Business Partner role may be considered based on performance, skills, experience, business needs, and available opportunities.

SKILLS AND QUALIFICATIONS

  • Must be a Registered Nurse with an active PRC license.
  • A bachelor’s degree in nursing is required.
  • At least one to two years of clinical, occupational health, or company nursing experience.
  • HR administrative experience is an advantage.
  • Basic understanding of employee relations and HR processes.
  • Basic knowledge of Philippine labor standards and workplace health and safety.
  • BPO or corporate experience is preferred.
  • Good communication and coordination skills.
  • Organized and detail oriented.
  • Able to handle confidential employee information appropriately.
  • Comfortable using Microsoft Office, particularly Excel.
  • Willing to work on site.
